How to Make a Wholesale Line Sheet

A line sheet is the document a store buyer uses to decide what to order. It should answer every question a buyer has without a phone call: what is it, what does it cost, how many must I buy, and when can I get it.

Line sheet or catalog?

The words are used loosely. A catalog often leads with photography and story. A line sheet is the working document: one row or tile per sellable item, with the facts a buyer needs to write an order. Many brands send one PDF that does both, with a cover page followed by product pages.

The information every product needs

  • SKU: the code the buyer writes on the order. One SKU per sellable item.
  • Product name: short and specific. "Linen Apron" beats "Apron".
  • Wholesale price: what the store pays per unit.
  • MSRP: the suggested retail price. Buyers use it to judge their margin.
  • Minimum order quantity (MOQ): the fewest units of that SKU you'll accept.
  • A clear photo, consistent in background and crop across the sheet.

Useful when they apply: size, color, case pack, UPC or EAN barcode, lead time, and a one-line description.

Put brand-level details once, not on every product: your brand name, the season (for example "Spring 2027"), and who to contact to place an order. Payment terms and shipping policies can go in your email or on a terms page.

SKUs, sizes and colors

The most common line sheet problem is ambiguity about what exactly is being ordered. The fix is one SKU per combination a buyer can order. A tee in three sizes and two colors is six SKUs:

SKUNameSizeColorWholesaleMOQ
TEE-NVY-SCrew TeeSNavy$18.006
TEE-NVY-MCrew TeeMNavy$18.006
TEE-OAT-SCrew TeeSOat$18.006

Illustrative example. Prices and SKUs are not real products.

Build SKUs from parts that make sense when read aloud: style, color, size. Avoid reusing a retired SKU for a new product, because buyers reorder from old sheets.

State minimums without confusion

Say whether a minimum is in units or cases, and whether there's a case pack. "MOQ 12 units, sold in cases of 6" is clear. "Min 2" is not. Our guide to order minimums and case packs works through the arithmetic.

Choose a layout that suits the product

Jewelry and accessories benefit from fewer products per page and larger photos. Packaged goods are easier to scan in a grid. Apparel with many sizes reads best as rows. Cloud Catalogue's three templates follow those patterns, and switching between them doesn't touch your product data.

Review checklist before you send

  1. Every SKU is unique and matches what your warehouse or fulfillment partner uses.
  2. Wholesale is below MSRP for every product, and the math gives the store a sensible margin.
  3. Minimums and case packs agree: the MOQ can actually be ordered in whole cases.
  4. Names aren't cut off and long descriptions aren't truncated mid-sentence.
  5. Photos load, and products without one still read clearly.
  6. The season and contact details are current.
  7. You've opened the actual PDF, not just the editor, and checked page breaks on Letter or A4.

Sharing it

Attach the PDF to your email, print it for a trade show, or keep the file for your records. If a buyer is ready to order, a private order link saves both of you from retyping the sheet into an email. Keep the old PDF too. When prices change, it's your record of what each buyer was quoted.
